Instruction for the Graduands

For Undergraduate and Postgraduate graduands

• For attending the convocation to obtain degrees and/or gold medals, the graduands are required to apply online at the University website (www.iisuniv.ac.in) and submit the Security Deposit of Rs.1,500/- through netbanking/ credit/debit cards

• The Security Deposit is refundable on the return/ deposition of the academic dress. In case of any damage , loss or no-return of the academic dress, the Security Deposit will be forfeited

• The last date to apply for attending the convocation is 19^th December, 2018 

• The candidates may, however, apply offline by sending a hard copy of the application along with a Demand Draft of Rs. 1,500/- drawn in favour of ‘The IIS University, Jaipur’ or may personally submit application in the University Office along with an amount of Rs. 1,500/- in cash till 22^th December, 2018

• The candidates are required to provide their Bank Account Number along with the name of the bank, branch and IFSC code for online refund of security deposit, if the same is not forfeited in case of defaulters mentioned as above

• Graduands who wish to receive their degrees ‘in absentia’ should also apply online at the University website (www.iisuniv.ac.in) and submit an amount of Rs.200/- (administrative cum postal charges) through netbanking/ credit/debit cards. The last date for applying online for receiving degrees ‘in absentia’ is 22^nd December 2018 

• The candidates may also apply offline for receiving degrees ‘in absentia’ by sending a Demand Draft of Rs. 200/-(administrative cum postal charges) drawn in favour of ‘The IIS University, Jaipur’ along with the duly filled in prescribed pro forma available at the University website www.iisuniv.ac.in. Alternatively, they may submit their application in person in the University Office along with a fee of Rs. 200/- in cash

• All graduands of this University who confirm their participation in the convocation by submitting the requisite application along with the security deposit will be allowed to attend the convocation

Each graduand will be entitled to bring along with him/her, one guest (parent/guardian/ relative).

For Ph.D./ M.Phil. graduands

• The Ph.D./ M.Phil. graduands can procure the convocation form from the University reception and submit the duly filled in form in the University office along with the degree fee of Rs. 2000/- and a Security Deposit of Rs. 1,500/-(Security Deposit is refundable on the return/ deposition of the academic dress) by 22^th December, 2018. However, in case of any damage , loss or no-return of the academic dress, the Security Deposit will be forfeited

• Each graduand will be entitled to bring along with him/her, one guest (parent/guardian/husband/wife/relative).

All graduands of this University who confirm their participation by submitting the requisite application and convocation fee along with the security deposit, as applicable to them, will be allowed to attend the convocation. Each graduand will be entitled to bring along with him/her, one guest (parent/guardian/relative).The details of the guest should be mentioned in the application submitted by the graduand.

• The convocation kits will include Convocation Booklets, Book of addresses, List of Graduands 2018,  lunch coupon and entry passes.

• All graduands who have confirmed their participation will be issued entry passes and lunch coupons on 22^nd December 2018, after the rehearsal is over. These will be issued from the counters set up for the purpose on showing the receipt of Convocation fee and security deposit. The candidates should compulsorily bring their photo identity proofs for obtaining entry tickets and lunch coupons.

• Entry passes and lunch coupons will not be mailed to the graduands

FOR GRADUANDS

A)        Dress Code

• The graduands are required to follow the following dress code norms for the convocation:

• Females: Saris with appropriate woolen garments. (Shawls/Stoles not permitted)

• Males: White shirt, black/grey trousers and blazer or suit with tie and black shoes
• Casual footwear (trainers, plimsolls, flip-flops, Bathroom slippers and hawai chappals etc) is not permitted
• Flowers, handbags, or other articles should neither be worn nor be carried during the convocation ceremony

Since storage/ locker facility is not available, the graduands should leave their purses, valuables, bags, etc., at home or with their guests for safe keeping

B)        Academic Dress

• The graduands will wear the academic dress for the convocation ceremony which comprises convocation gown, cap and hood.
• All  the graduands of UG Programmes will wear black gowns and black caps, however the colour of the hoods will be faculty specific, viz:

• Arts and Social Science faculty: RED

• Commerce and Management faculty: YELLOW
• Science faculty: BLUE

• Arts and Social Science faculty: One side RED and other side SILVER
• Commerce and Management faculty: One side YELLOW and other side WHITE 
• Science faculty: One side BLUE and other side LIGHT BLUE

• For Ph.D./ M.Phil. graduands the Academic robes will consist of:

• Red gown with yellow facing
• Red cap
• Red Hood with Golden Lining

• The graduands without academic dress will not be permitted to attend the Convocation Ceremony in person.

FOR THE GUESTS, OFFICERS AND THE MEMBERS OF THE STATUTORY BODIES (BOARD OF MANAGEMENT & ACADEMIC COUNCIL) OF THE UNIVERSITY.

A)        Dress Code

• The dress code for all the faculty of the University will be as follows:
  
  • Females: Function sari with uniform blazer
  • Males : Uniform with tie and blazer
• There will be no dress code for the guests and the members of the Statutory Bodies (Board of Management & Academic Council) of the University, other than the faculty.

B)        Academic dress

• Chancellor / Vice Chancellor / Rector & Registrar:

Royal Blue Velvet Gown with heavy embroidery (Serpentine in front and on sleeves) made like an Oxford Proctor’s dress gown; Blue Velvet Academic Cap with Gold Tassel, nine inches long

• Chief Guest  :

Maroon Velvet Gown with heavy embroidery (Flower Type in front and on sleeves) made like an Oxford Proctor’s dress gown; Maroon Velvet Academic Cap with embroidery and Gold Tassel, nine inches long

• Deans and Members of the Board of Management:

Red Poly Silk Gown with Blue facing and zari stripe in front and on sleeves; Red Academic Cap with zari and Gold Tassel, nine inches long

• Members of the Academic Council:

Black Poly Silk Gown with zari stripe in front and on sleeves; Black Academic Cap with zari and Gold Tassel, nine inches long

FOR GRADUANDS

• The graduands applying within the due date for attending the convocation along with the requisite fee and/ or security deposit, as the case may be, will receive their degrees, convocation kits (consisting of convocation booklets, book of addresses, list of graduands, entry tickets & lunch coupons), academic dress on showing the receipt of convocation fee and/ or security deposit, as the case may be, and photo ID, from the counters set up for the purpose on 22 December 2018 at IISU Campus, Gurukul Marg, Mansarovar, Jaipur, when they come for the rehearsal
• The graduands are required to return the academic dress intact immediately after the Convocation is over, at the counter(s) set up for the purpose

• The Ph.D. graduands and the merit position holders of various programmes will be awarded degrees/diplomas in person by the Chancellor/Vice Chancellor/ Chief Guest. As such, degrees/ diplomas will not be issued to them from the counter However, they are required to collect their academic dress and convocation kits from the counters

• The security deposit will be refunded through online transfer in the bank accounts of the graduands within a fortnight from the day of the convocation,  provided they have returned the academic dress safely and in perfect condition

FOR THE GUESTS, OFFICERS AND THE MEMBERS OF THE STATUTORY BODIES (BOARD OF MANAGEMENT AND ACADEMIC COUNCIL) OF THE UNIVERSITY

• The academic dress to all the members of the Statutory Bodies (Academic Council, the Board of Management) and the guests will be distributed on 23 December 2018 at 9:50 am from the rooms designated for this purpose in the A Block. After the Convocation, the dresses will be collected at the same place by the authorized person(s)

• A Special meeting of the Academic Council will be held on 22 December 2018 to pass the grace for conferment of degrees/diplomas on the graduands of the University, award of gold medals and merit certificates to the toppers of the different programmes and endowment awards to the graduates who have excelled in the specific field
• The Rector & Registrar will propose passing of the grace for conferment of degrees and diplomas in different faculties. The Academic Council will then pass the grace for conferment of the degrees and diplomas on the graduands in different faculties
• The Rector & Registrar will then propose the award of University gold medals and merit certificates to the toppers of different programmes and the Endowment Awards to the candidates who have excelled in the specific fields. The Academic Council will accord its approval for the same
• A special meeting of the Board of Management will also be held on 22 December 2018 soon after the meeting of the Academic Council. In this meeting, the recommendations of Academic Council for conferment of degrees/diplomas to be conferred on the graduands in different faculties will be considered. The Board of Management will accord its approval to the same

• Rehearsal will be held on Saturday, 22 December 2018 at IISU Campus, Gurukul Marg, Mansarovar, Jaipur, from 10:00 am onwards

• The reporting time for the graduands at the venue to attend the rehearsal will be by 9:45 am
• All the graduands attending the Convocation are required to attend the same in plain clothes. The officers of the University and the internal members of the Statutory Bodies (Board of Management & Academic Council) of the University are also required to attend the rehearsal

 Rehearsal Schedule

The rehearsal for the Convocation will be held as per the details given below:

 Rehearsal Schedule:

• It is obligatory for every graduand who would be receiving the degree at the Convocation in person to be present at the rehearsal, failing which he/she will not be admitted to the Convocation Function.
• After the rehearsal is over they are required to collect their Convocation Kit, academic dress and degree from the counters set up for this purpose.
• Kits will be issued only on showing a photo identity proof.
• The convocation Kit will include convocation booklet, book of addresses, list of graduands 2018, lunch coupons and entry passes.
• There will be one entry pass per kit for the guest (parent/guardian/relative) who the graduand may want to bring along with them.

Entry passes and lunch coupons will not be mailed to the graduands.

• The graduands should park their vehicles at the community center adjacent to the IIS (deemed to be University) campus
• Entry of all the graduands and their accompanying guests to the campus will be from GATE A (Main Gate)
• On reaching the campus the graduands are required to register and mark their attendance at the counter(s) set up for this purpose
• Since all the Ph.D. graduands and the first three/five/ten rank holders of various programmes shall receive their degrees in person from the dais, degrees will not be issued to them from the counter
• Merit certificates to the first rank holders will be given on the dais along with their degrees; however, the other rank holders to be awarded degree on the dais are required to collect their certificates from the registration counter along with their convocation kit
• Entry of the accompanying guest to the Convocation Function is strictly on the basis of the entry pass, which is non-transferable.
• The Graduands and their guests must take their designated seats in the hall latest by 10.00 am

Electronic communication devices are not allowed inside the auditorium. However, mobile phones may be permitted but the same should be kept on the ‘switched off’ mode.

Robing of Graduands

The graduands of different faculties will wear the academic dress in the rooms allocated for the purpose. Student volunteers will assist them. There will be separate dressing rooms for male and female graduands

Robing of guests, officers and members of the Statutory Bodies (Board of Management and Academic Council) of the University.

• After the Chancellor and the Chief Guest have been received they will be requested to proceed for robing
•  The internal members of the Academic Council, Board of Management and Deans, etc. will wear the academic dress in the rooms designated for this purpose in the ‘A’ Block
•  The Vice Chancellor, Chief Guest, Chancellor, Rector & Rector & Registrar and the External Members of the Board of Management and Academic Council will wear the regalia in Board Room next to the VC chamber. The volunteers will assist them in wearing the Academic Dress

Graduands and Invited Guests

• The graduands and their guests will take their seats in the Convocation area in the concerned faculty blocks after wearing their academic robes by 10:00 am.
• The recipients of University gold medals, endowment award and degrees in person from the Chancellor will occupy seats in the front rows reserved for them.

 The invited guests, Media persons, parents and faculty members will take their seats in the designated areas as per the block diagram shown below by 10:20 am.

DAIS SEATING

• The Chancellor, Chief Guest, Vice Chancellor, Rector & Rector & Registrar, Advisor, Dean & Director (CRIT), Deans and Members of the Board of Management will take their seats on the dais
• The members of the Academic Council will be seated in front of the dais at the place reserved for them
• The block diagram of the seating arrangement is shown below:

• During the entire ceremony the graduands and accompanying guests will remain seated   and observe complete silence

• Since Convocation Ceremony is a solemn occasion which requires a particular decorum, it is strongly advised that graduands and accompanying guests keep their mobile phones in switched off/silent mode and do not carry with them cameras/handy-cams etc., and refrain from photography/videography in the Convocation hall
• They are also advised to refrain from moving in and out of the Convocation venue and cheer and shout in between award ceremony and Convocation address. However, they can show their enthusiasm and boost the morale of the awardees by clapping as and when required.

• No private photographers will be permitted at the convocation venue
• The University will make necessary arrangements for taking the photographs during the Convocation ceremony
• The graduates may contact the photographers authorized by the University for their photographs after the ceremony is declared dissolved.
